# Real Estate that creates value

Every building, site or square metre under management represents a strategic asset that generates value far beyond its physical function. The property portfolio contributes directly to business growth, strengthens operational capacity, enables a local presence and supports the continuity of business operations. Real Estate management decisions have an impact on productivity, on the experience of customers and employees and, more generally, on the organisation’s competitiveness.

From this perspective, real estate can no longer be viewed solely as a set of investments or costs to be managed through the Total Cost of Ownership (TCO), but as a **strategic lever for value creation**. Advanced property management supports business transformation, accelerates digitalisation processes, facilitates the achievement of sustainability objectives and enables new business models.

The value of a property portfolio, however, does not lie in the assets themselves, but in the quality of the decisions that knowledge of them makes possible. An organisation lacking a structured view of its property portfolio operates with a lower level of awareness, whilst an organisation that manages its assets using reliable, up-to-date and shared data is able to make faster decisions, reduce risks, optimise investments and seize new growth opportunities.

**A problem confirmed by market data**

The latest market analyses show that the fragmentation of property information is not merely an organisational challenge, but a quantifiable problem with direct economic implications.

According to JLL’s report *2026 Corporate Real Estate Trends to Watch*, the average global office utilisation rate stands at 54 per cent, compared with an average target of 79 per cent. This gap highlights how a significant proportion of property expenditure is not aligned with the actual use of space, making a continuous approach to optimising the property portfolio necessary rather than one-off interventions.

This evolution has given rise to the concept of the **flexible portfolio**: a dynamic ecosystem of central offices, satellite hubs and flexible spaces that can expand or contract in line with business needs. This model can only exist if supported by constantly updated knowledge of the property portfolio.

The same study also highlights a significant acceleration in the adoption of artificial intelligence: the proportion of Corporate Real Estate teams trialling AI solutions has risen from less than 5 per cent in 2023 to 92 per cent in 2025. However, the main obstacle is not the technology itself, but rather the **quality of the information available**. In fact, over half of organisations identify legacy systems and data fragmentation as the main barrier to innovation.

The same trend is evident in Facility Management: cost control, safety and people’s wellbeing are now the strategic priorities for FM managers, but none of these can be effectively addressed without a **single, reliable and shared information base**.

The common thread emerging from key industry research is clear: without a centralised view of assets, contracts, occupancy and property performance, it becomes difficult to identify inefficiencies, plan investments and develop credible strategies for portfolio optimisation. Visibility of the property portfolio is no longer merely a technical requirement, but an essential prerequisite for business governance.

**From fragmentation to governance**

Governance emerges when the property portfolio ceases to be a collection of data scattered across different functions and systems and becomes shared knowledge within the organisation.

This is, first and foremost, a managerial and organisational transformation. The property portfolio cuts across various functions: finance, real estate, facility management, procurement, operations, HR, sustainability and risk management. Value is only generated when all these functions make decisions based on the same information.

It is within this context that the **Digital Governance** model developed by eFM comes into play, translating this principle into a structured process divided into five phases.

It starts with **Data**, through the collection and integration of assets into a single digital register. The data is then transformed into **Intelligence**, generating insights and Portfolio Intelligence capabilities. The third phase concerns **Decision-making**, in which strategy and operations converge on the basis of shared information. This is followed by **Transformation**, which enables coordinated execution across all the functions involved. The process culminates in **Results**, measurable through cost reduction, risk mitigation, improved service quality, the achievement of ESG objectives and enhanced planning capabilities.

The model integrates data, digital platforms, processes, people and strategies into a single governance system capable of supporting capital planning decisions, portfolio optimisation and the management of critical assets with the same level of rigour, regardless of the sector or the complexity of the organisation.

**Governance for better decision-making**

The truly distinguishing factor is not the economic value of the property portfolio, but the level of knowledge the organisation has of its assets and the speed with which that knowledge translates into effective decisions.

Real Estate Governance is therefore not merely a control system, but a managerial capability that directly influences business growth, financial performance, operational continuity, digital transformation and the quality of decision-making.

The most mature organisations do not invest in governance to fulfil administrative obligations, but because they recognise that a well-governed property portfolio constitutes a competitive advantage. In a market characterised by increasingly dynamic portfolios, constantly evolving working models and investments that require ever more complex decision-making scenarios, the ability to manage real estate using reliable, shared and continuously updated data is an essential prerequisite for creating value and competing in the long term.
